Staff schedule
The Schedule (/schedule) is where you plan who works when. Build a week of shifts for your team, one at a time or as a repeating pattern, view the week as a calendar or person by person, and publish shifts when they're final.
Where to find it
Open Schedule from the sidebar, under Operations.
Who can use it
- Seeing the schedule needs the View team members permission. Owners, admins, and managers have it by default. Cashiers don't, so they don't see Schedule in the sidebar.
- Adding, editing, publishing, and deleting shifts needs the Change roles / per-user permissions permission. Only owners and admins have it by default.
- Plan: the schedule is included with every plan.
Add a shift
- Click New shift at the top, or Add under a day on the calendar.
- Pick the Staff member.
- If you have more than one location, pick the Location.
- Set the Start date and the Start and End times. A shift has to end on the day it starts, after its start time.
- If you like, add a Role (such as Cashier or Floor lead) and Notes.
- Click Schedule shift.
The shift appears on the calendar marked scheduled.
Repeat a shift
To set up a regular pattern, such as Monday to Friday, 9 to 5, for the next month:
- In New shift, pick the staff member and set the start date and times as above.
- Under Repeat until, pick the last date.
- Pick the days of the week, or click Weekdays, Weekends, or All. Clear unpicks them.
- Check the line under the days. It says how many shifts will be created, such as Creates 20 shifts on the selected days.
- Click the Schedule button, which shows the same number (for example, Schedule 20).
If the person already has a shift that overlaps one of those days, that day is skipped, and Retailer OS tells you how many shifts it skipped.
Change the view
- Calendar shows one week, Sunday to Saturday, with each day's shifts.
- By employee lists every team member with their shifts for that week, including people who have none.
- ← Prev, This week, and Next → move between weeks.
Publish, edit, or delete a shift
Each shift has these controls:
- Publish marks a scheduled shift as final, and its status changes to published. It doesn't notify the staff member.
- The pencil opens Edit shift, where you can change the date, the start and end times, and the role.
- The trash can deletes the shift once you confirm. You can't undo it.
Published shifts can still be edited or deleted.
Common questions
Q. Do staff get a copy of their schedule? A. No. Publishing doesn't send anything, and cashiers can't open Schedule by default. Share the week another way, or give people View team members under Setup → Team.
Q. It says "No shifts created". Why? A. Either every shift overlaps one that person already has, or you don't have permission to add shifts. Adding shifts needs Change roles / per-user permissions.
Q. Why can't a manager add shifts? A. Managers can see the schedule but can't change it by default. An owner can give a manager Change roles / per-user permissions under Setup → Team. That also lets them change other people's roles and permissions.
Q. Can a shift run past midnight? A. No. A shift has to end on the day it starts, so split an overnight shift into two, one on each day.
Q. Does the schedule check the time clock? A. No. The schedule is the plan; the time clock records when people actually worked.
