Wholesale approvals

Wholesale approvals (/crm/wholesale-approvals) is where you review shoppers who asked for a wholesale account when they signed up in your online store. They can't sign in until you approve them. Once approved, they see wholesale prices across your storefront, in their cart, and at checkout whenever they're signed in.

Where to find it

  • Online store → Wholesale approvals in the sidebar. The number next to it shows how many applications are waiting.
  • Waiting applications also appear in a Wholesale accounts awaiting approval banner at the top of Customers.

Who can use it

Owners, Admins, Managers, and Cashiers (anyone allowed to create and edit customers) can approve and reject applications by default. Change this under Setup → Team.

How shoppers apply

  1. In your storefront, the shopper clicks Sign in, then Create account.
  2. Under Account type, they choose Wholesale, fill in their details, and can add a Tax ID (optional).
  3. They're told their wholesale account is pending approval. They can't sign in until you approve it.

Approve or reject an application

  1. Open Online store → Wholesale approvals. The Pending tab lists each applicant with their company, email, phone, Tax ID, and when they applied.
  2. Choose the pricing tier, Wholesale 1 or Wholesale 2, and click Approve. Or click Reject.

Approved applicants move to the Approved tab, and rejected ones to the Rejected tab, as your record of each decision.

Approving also sets the shopper's Customer type in Customers to the tier you chose, and creates their customer record if they don't have one yet. Your register charges that type, so they pay the same prices in store and online.

Wholesale 1 and Wholesale 2

  • Wholesale 1 shoppers pay each item's Wholesale Price.
  • Wholesale 2 shoppers pay an item's Tier 2 wholesale price when it has one, and otherwise its Wholesale Price. Leave an item's Tier 2 wholesale price blank and Wholesale 2 shoppers pay its Wholesale Price.

On either tier, items without a wholesale price show the retail price.

Your register uses the same rule. When you attach a customer whose Customer type is Wholesale 1 or Wholesale 2 to a sale in Point of sale, each item rings up at that tier's price.

One tier in store and online

Each customer has one pricing tier: the Customer type on their profile in Customers.

  • Approving a shopper, or giving them wholesale access yourself, sets their Customer type.
  • Changing a customer's type on their profile also changes their online prices, if they have wholesale access.
  • Changing the type doesn't give a customer wholesale access to your online store. Approve their application, or set up their store login (below).

If a profile shows Online store: Wholesale 2 (or another tier) under Customer type, their online tier and Customer type differ. This can happen for shoppers approved before approvals set the Customer type. Edit the profile, choose that type, and save.

NOTE

Retailer OS doesn't email shoppers when you approve or reject them. Let them know when they can sign in.

What approved shoppers see

  • When signed in, they see their tier's price while browsing, in their cart, and at checkout, and they pay that price. Items without a wholesale price show the retail price.
  • If they added items to their cart before signing in, the cart switches to their prices when they sign in.
  • When signed out, they see retail prices like everyone else.
  • Store sign-in has no password. Shoppers enter their email and get a one-time code.

Set each item's Wholesale Price, and its Tier 2 wholesale price if it has one, on the item in Items.

Rejected applicants

When a rejected shopper tries to sign in, they're told their application wasn't approved and to contact the store. If they create an account again and choose Wholesale, their application goes back to Pending.

To approve a rejected applicant after all, open the Rejected tab and click Approve now. They're approved on Wholesale 1 and can sign in right away. To move them to Wholesale 2, change their Customer type on their profile.

Give a customer wholesale access yourself

You can give an existing customer wholesale access directly, with no application needed:

  1. Open the customer in Customers.
  2. Click Set up store login, or Store login if they already have one.
  3. Under Pricing, choose Wholesale 1 or Wholesale 2. This also sets their Customer type, so the register charges the same.
  4. To email them the store link and sign-in instructions, keep the invite box ticked.
  5. Click Enable & send invite, or Enable login if you unticked the invite.

The customer needs an email address on their profile, because store sign-in sends a one-time code to it.

Common questions

Q. Why can't a shopper sign in after applying? A. Wholesale applicants can't sign in until you approve them. Check the Pending tab.

Q. An approved shopper still sees retail prices. Why? A. Check that they're signed in and that the item has a Wholesale Price. Items without one show the retail price on either tier.

Q. A wholesale shopper pays a different price at the register. Why? A. The register charges the customer's Customer type. Open them in Customers and check it. If it shows a different tier online, choose the right type and save.

Q. Can I combine wholesale pricing with a sale? A. Yes. See Online deals, which can use each item's wholesale price as the deal price.
