Pricing inbox
The Pricing inbox (/inventory/pricing-inbox) lists suggested price changes for your items. Retailer OS works them out once a day from how fast each item is selling, how much stock you have, and its margin. Approve a suggestion to change the item's retail price, or reject it to dismiss it. No price changes until you approve.
Where to find it
Inventory → Pricing inbox in the sidebar. The number next to it shows how many suggestions are waiting.
Who can use it
Owners, Admins, and Managers can see the inbox and approve or reject suggestions. To give someone else access, grant Edit prices and cost (to see the inbox) and Create / edit any item in the catalog (to approve or reject) under Setup → Team. See Team & roles.
How suggestions are made
Every day at 8 am in your store's time zone, Retailer OS checks each active item that has a retail price. It compares the units sold in the last 30 days with the 30 days before that, and looks at stock on hand across all your locations. An item needs at least 5 units sold across those 60 days to be considered.
| When | Suggestion |
|---|---|
| Sales dropped by 40% or more, and you have more than 14 days of stock | Lower the price by 9–15% to clear stock. The bigger the drop, the bigger the cut. |
| Sales rose by 50% or more, and you have less than 5 days of stock | Raise the price by 7.5–10%. |
| The item's margin is below 20% | Raise the price by up to 5%, toward a 30% margin. Only for items with a cost. |
"Days of stock" means how long your current stock lasts at the last 30 days' pace. Changes smaller than 1% aren't suggested. Each item has at most one waiting suggestion; a newer one replaces the old one.
Review suggestions
Each card shows the item and its SKU, a confidence badge (high confidence, medium confidence, or low confidence), the current price and the suggested price with the percentage change, and the reasons behind it.
- Open Inventory → Pricing inbox.
- Read the reasons on a card.
- Click Approve to change the item's retail price to the suggested price, or Reject to dismiss the suggestion.
Suggestions based on sales speed are marked high confidence. Margin-only suggestions are medium, or low when the item sold fewer than 10 units in the 60 days.
Handle several at once
- Tick the cards you want, or click Select all (N).
- Click Bulk approve or Bulk reject. Clear unticks them all.
WARNING
Approving changes the item's retail Sell price at the counter and in your online store. If the item has its own online store price, that price doesn't change. Each approved change is recorded in the audit log with the old and new price.
Common questions
Q. Why is the inbox empty? A. Suggestions are made once a day, only for items with at least 5 units sold in the last 60 days, and only when one of the rules above applies. With nothing waiting, the page says No pending suggestions.
Q. Does it use AI? A. No. Suggestions come from the fixed rules above, applied to your own sales, stock, and cost. They don't need an AI plan.
Q. Does approving change wholesale or online store prices? A. No. Only the item's retail sell price changes.
Q. Can I undo an approval? A. Not from the inbox. Open the item in Items and set the price back.
